The night before a busy day, you scroll your calendar and wonder who will actually come. You could text everyone. You could call the ones you are unsure about. Or you could let the reminder ask for you, and read the answers on your calendar in the morning.
Most clients read WhatsApp within minutes. Email can sit for a day. So the reminder should go where they read.
They choose WhatsApp when they book
On your booking page, under the phone field, there is a box: "Send my appointment messages on WhatsApp". It is never ticked for them. When a client ticks it, their messages go there. When they do not, they keep getting email, as before.
We keep their choice and the words they agreed to, so you never wonder whether someone asked for it.
The reminder asks, and one tap answers
The reminder names your business, the service and the time, and asks them to confirm. Under it are three buttons:
- Confirm, and the visit gets a green check on your calendar.
- Cancel, which asks first and says what your policy charges, if anything. "Yes, cancel" frees the time. "Keep it" keeps it.
- Change time, which opens their visit page with the time picker already open.
No link to find, no password, no app to install. They are already in WhatsApp.
Everything about the visit, in one chat
It is not only the reminder. A client who chose WhatsApp also gets:
- the booking confirmation, with Cancel and Change time, so a mistake is fixed before the day;
- a message when the visit moves to a new time, or is cancelled;
- the deposit receipt;
- a waitlist opening, held for them for a few minutes, with a "Take this time" button.
The confirmation and the receipts still come by email too. That is the copy they keep, with the calendar invite.
Your morning, already sorted
On your calendar, a green check means "they said yes". Open the visit and you see how and when.
For the ones who did not answer, turn on "Tell me when a client has not confirmed" in Settings, Notifications, and pick how many hours before the visit. You get an alert while there is still time to call, and those visits show a faint question mark. If they called you instead, tap "Mark confirmed".
Email, as the safety net
WhatsApp is the first try, never the only one. If a reminder does not reach their WhatsApp in time, the email goes. If a client replies STOP, the messages stop and email takes over. Nothing falls through.
What it costs
Nothing extra. Messages go from Turnexify's WhatsApp number with your business named in each one, and every plan includes a monthly allowance: 100 messages on Free, 500 on Plus and 1,000 on Pro. Past the allowance, clients get email until the 1st. Settings, WhatsApp shows how many you have used.
Where to start
There is nothing to set up. WhatsApp is on for every business, and the box appears on your booking page as soon as a client types a phone number. Book yourself a test visit with your own phone, tick the box, and watch the reminder arrive.
The WhatsApp reminders page shows how it fits together.
